Terms of Service

1. Acceptance of Terms

By accessing or using RotaMate ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use the Service.

2. Description of Service

RotaMate is a cloud-based care rostering platform that helps care home managers plan, review and manage staff rotas. The Service includes:

• Rota generation and management
• Staff scheduling and availability tracking
• Automated rota analysis (powered by PyRunner)
• Reporting and analytics

3. Account Registration

To use the Service, you must register for an account. You agree to provide accurate, current and complete information during registration and to update such information to keep it accurate.

You are responsible for safeguarding your account credentials and for any activity that occurs under your account.

4. Free Trial

New users receive a 7-day free trial. During the trial period, you have access to a demo workspace with sample data. At the end of the trial, your account will become read-only unless you upgrade to a paid plan.

We reserve the right to modify or discontinue the free trial at any time.

5. Subscriptions and Payment

Paid subscriptions are billed in advance on a monthly basis. Payment is processed securely through Stripe. By subscribing, you authorise us to charge your payment method on a recurring basis.

You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period.

6. Acceptable Use

You agree not to:

• Use the Service for any unlawful purpose
• Attempt to gain unauthorised access to the Service
• Interfere with or disrupt the Service
• Use the Service to transmit harmful or malicious content
• Share your account credentials with others

7. Data Ownership

You retain ownership of all data you input into the Service. We do not claim ownership of your data. We will not use your data for purposes other than providing the Service to you.

Upon cancellation or termination, you may export your data within 30 days. After this period, we may delete your data in accordance with our data retention policy.

8. Intellectual Property

The Service, including all software, content, and materials, is owned by RotaMate and is protected by intellectual property laws. You are granted a limited, non-exclusive licence to use the Service in accordance with these terms.

9. Limitation of Liability

To the maximum extent permitted by law, RotaMate shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly.

The Service is provided "as is" without warranties of any kind. We do not warrant that the Service will be uninterrupted, error-free, or completely secure.

10. Termination

We may terminate or suspend your access to the Service immediately, without prior notice, for conduct that we determine, in our sole discretion, violates these terms or is harmful to other users, us, or third parties.

11. Governing Law

These terms are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
